CM PRO / construction material demand and site store software
Procurement & Material Management
Make requests, approvals and stock movements visible to the people responsible for purchasing and custody. The same operational discipline applies to cement on a project, consumables in a factory or maintenance supplies across managed properties.
7-day trial · no setup fee · your own company workspace
Material doesn't disappear in one day. It leaks one unrecorded issue at a time.
When two or three sites share the same store, crew and cash, nobody knows which site consumed which cement bags. Demands arrive on WhatsApp, approvals are verbal, and the store balance is only discovered at stock-taking.
CM PRO Procurement & Material Management takes a demand from the site to approval, purchase, receipt and issuance, and keeps a live store balance per site so you can compare issued material with work done.

The working sequence
From first entry to management review
STEP 01
Raise a traceable demand
Describe the required item, quantity, unit and destination clearly. A request should identify the operational need rather than reproduce a vague message such as 'send material'. Keep demands within the correct project or operating location so managers can distinguish repeat needs from duplicate requests. The request then has a status the team can follow.
Describe the required item, quantity, unit and destination clearly. A request should identify the operational need rather than reproduce a vague message such as 'send material'. Keep demands within the correct project or operating location so managers can distinguish repeat needs from duplicate requests. The request then has a status the team can follow.
Review the requested quantity, stock already available and the intended use. Record approval or rejection with enough context for procurement to act. Approval is not proof that goods have arrived; purchasing and receipt remain separate events. Use the supplier directory where Vendor Management is active instead of keeping business contacts only on individual phones.
Confirm the received quantity and unit, then record issues, returns and transfers as they happen. Separate tools from consumables because custody and consumption are different controls. Do not wait until physical stock-taking to enter a week's movements. A live balance is only as reliable as the completeness and timing of the transactions behind it.
Compare recorded balances with the physical store and investigate shortages, damage or unit mismatches. Where construction quantities are available, compare issued material with executed work using engineering judgement. Manufacturing and service teams can use the same movement trail for consumption reviews. Differences should be explained and authorised rather than hidden by changing the opening balance.
Professional practice
The detail behind the workflow
01
Procurement is not construction-only
Trading companies need visibility of goods requested and received. Manufacturing stores need to distinguish consumables, tools and operational stock. Service businesses and property teams need control over supplies issued to jobs or locations. CM PRO's demand and store workflows address these common operational needs without requiring a construction BOQ for every purchase. Evaluate the actual stock and approval screens during the trial. Do not assume the module includes every specialist warehouse feature, production planning function, barcode integration or statutory inventory valuation method merely because it records stock movements.
02
Units and item names prevent silent errors
A stock balance expressed in bags is not interchangeable with one expressed in kilograms. Agree item naming and units before large numbers of requests are recorded. Keep similar items distinguishable by size, grade or specification, and check the unit used on receipt against the request. Teams should not create a new spelling for the same item on every site. Good item discipline makes searches, stock reconciliation and procurement discussions clearer. The software records the quantities supplied; it cannot infer that a storekeeper has used the wrong physical unit.
03
Tools, returns and damaged stock
Consumable issues and tool custody need different follow-up. A tool issued for a job may return, while a bag of cement normally becomes part of the work. Record returns and damaged items promptly so the available balance is not misleading. Keep the responsible person and location clear where the workflow asks for them. Review the tool and damaged-stock views as part of store control, not only after something is lost. A recorded issue is evidence of a transaction, not proof that material has been correctly installed or that a damaged tool is safe to use.
04
Multi-location visibility without company mixing
Shared stores and transfers can conceal which job consumed material. Record the destination for each movement and review the selected project before entering a transaction. Businesses operating several locations benefit from the same discipline even when their work is not construction. Company isolation remains separate from project organisation: different enterprises do not share a store merely because they use the same software. Vendor Management is included with Procurement, so supplier details can remain company-owned. Financial posting and vendor payments belong to the relevant accounts workflow rather than being inferred from a stock receipt.
Stock receipt, custody, consumption and payment are separate events. Confirm units and physical quantities before relying on a balance.
Getting started
A practical implementation, not a long setup project
Agree the starting records
Create the company workspace, select the modules the team needs and review who is responsible for each record. Begin with one operating project or location and a small set of checked inputs. Keep existing source documents available during the transition so reviewers can compare the first entries with their original evidence. A trial is an opportunity to evaluate fit, not a reason to abandon established approval procedures immediately.
Review one complete cycle
Take a representative record through the available workflow from input to output. Ask the person who enters the information and the person who reviews it to check the result together. Confirm dates, units, references and reporting periods before adding larger volumes. Where another module is needed for a connected operation, enable it deliberately. Access remains controlled by company, role and module; public free tools do not expose enterprise records.
Establish the review rhythm
Decide when records are entered, how exceptions are handled and when managers review the operating position. Keep ownership clear rather than assuming everyone will update everything. Use the shared reports as a starting point for discussion and reconcile them with the business's source evidence. Add further modules as the workflow grows. Export and document requirements should be checked with the receiving team; software output still needs authorised review before external issue.
